A team member's page
This page is for org admins. Open anyone from Team to see their page. It has four tabs, Overview, Profile, Leave and Settings, though there’s no Settings tab on your own, and no Settings in the … menu on your own row either. Book Leave at the top books time off for them, and the … menu has the same shortcuts as the team list.
Overview
Section titled “Overview”This leave year shows:
- Annual Leave used, out of their allowance plus anything carried over
- Remaining
- Awaiting approval: days in requests not yet decided
- Next Leave, or On Leave Since if they’re off now
Breaks Pro
Section titled “Breaks Pro”How long they’ve gone between breaks, so you can notice who’s overdue a rest and check in:
- Since Last Break: the stretch they’re in now
- Avg Between Breaks: over the last year, counting breaks of two days or more
- Longest Stretch
- Last Break Ended
A break is approved leave of two working days or more, and bookings with only non-working days between them count as one. Sick and compassionate leave don’t count as a break. If someone hasn’t had one yet, the stretch is counted from their start date.
These are there to start a conversation, never as a warning.
Rota Pro
Section titled “Rota Pro”- Days In This Year
- Days In Lately: days a week, averaged over the last twelve weeks
- Usual Room
- Next In
Profile
Section titled “Profile”Photo: add one for anyone who hasn’t, so the team can put a face to the name. It saves on its own.
Profile: Full Name, Job Title, Department, Country and region, and Date of Birth. The country and region decide which bank holidays they get. Whether their birthday shows to the team stays their choice, and their email address is theirs to change.
Employment:
- Team Role: the line under it says where their allowance comes from and the role’s limit, like “Allowance from Annual Leave (25 days), and no limit on how many are off at once.”
- Employment Start Date: sets their work anniversary and the Joined date on their own Settings > Organisation. Closures that come off allowance aren’t booked before it, and until their first break, the stretch on their Overview is counted from it.
- Allowance override: their own Annual Leave allowance, in whole days. A half is rounded to the nearest day, so enter 22 or 23 rather than 22.5. It comes before their team role, even an Unlimited one, but does nothing while Annual Leave itself is set to Unlimited. 0 means no days. Other leave types aren’t affected.
- Working Days: the days they work, weekends included. Leave them unset for Monday to Friday. A day they don’t work can’t be booked or charged.
Permissions: what they can do. You can’t change your own. See Who can do what.
Select Save Profile when you’re done.
Emptying a field clears it: remove an Allowance override and they go back to their team role’s allowance or the organisation’s, or set Team Role back to no role. Their Working Days only change when you tick different days, so someone who follows the organisation’s working week keeps following it when you edit anything else.
Every request they’ve made, in every status including cancelled and rejected: pending first, then upcoming, then past. Each shows their own note as the Requester’s note and any note from whoever decided it as the Manager’s note. Select one to open it. See Changing or cancelling someone’s leave.
Settings
Section titled “Settings”- Resend Invite, while they haven’t activated their account.
- Remove from Organisation. See When someone leaves.
