Team roles
This page is for org admins. Team roles group team members who do the same work, like Design or Support, so they can plan cover together and each of them can properly switch off. They’re under Organisation Settings > Team Roles.
Add a role
Section titled “Add a role”- Select Add role.
- Give it a Name.
- Set an Allowance and a Max Concurrent Off limit if it needs them, or leave both blank.
- Select Add role.
You can also add one while you’re editing someone: choose Add a team role… at the bottom of their Team Role list.
Allowance
Section titled “Allowance”- Blank: the role follows Annual Leave’s allowance, as it changes. Raise Annual Leave from 25 days to 27 and everyone in the role gets 27. The table shows this as, for example, “Annual Leave (25 days)”.
- A figure, like 28 days: everyone in the role gets that instead. Use whole days.
- Unlimited - No set allowance: no cap for anyone in the role, and nothing to carry over.
A team member’s own Allowance override still comes first, even over an Unlimited role. See where someone’s Annual Leave comes from.
Max Concurrent Off
Section titled “Max Concurrent Off”How many team members in the role can be off at once, as Team members or % of role. Going over only warns: requests still go through, and whoever approves sees the days over the limit. Like the organisation’s limit, it’s counted per leave type, from approved leave. Team members can see their role’s limit under Settings > Organisation.
Approvals
Section titled “Approvals”Role Managers approve requests from team members in their own team role, so a Role Manager needs to be in the role they look after. See Who can do what.
Calendar
Section titled “Calendar”When Calendar Visibility is set to Only their own team role, roles decide who sees whose leave. Someone with no role then sees only their own.
Editing and deleting
Section titled “Editing and deleting”Open the … beside a role to Edit or Delete it. Deleting a role keeps its team members, with no role, and their allowance then comes from Annual Leave unless they have their own.
