Booking time off
Time off is there to be used, and booking it takes a minute.
Make a request
Section titled “Make a request”- Select New Request in the sidebar. On a phone, tap the + at the top left of the screen (org admins then choose Leave Request).
- Choose the Leave Type. It starts on Annual Leave. A type with an allowance shows how much you’ve used this leave year, like “3/28 days used”, counting requests still waiting for approval. A type that needs notice says so, like “30 days notice”.
- Pick your dates on the calendar: tap the first day, then the last. For a single day, tap it once.
- For part of a day, choose a half day or a custom time. See Half days and hours.
- Add a Note if it helps whoever approves it. It’s optional.
- Select Submit Request.
Picking dates
Section titled “Picking dates”- Tap a day before your first one and your dates run from that day to the one you tapped first.
- A third tap starts a new selection. Reset clears it.
- Tap a day you can’t pick to see why, like Non-working day or Within notice period. If more than one applies, it lists them all.
- It starts at this month and goes forward. A phone shows one month at a time: swipe, or use the arrow. Wider screens show two or three.
What the form shows you
Section titled “What the form shows you”As you pick, Folke works out what the leave costs. On most screens that’s a bar along the bottom, like “5 days selected”. Tap View details on it for the breakdown. On a very wide screen it sits beside the form instead.
The details show the days you’ve selected against the days you have left, how many you’ve already used in that leave year (pending requests included), and each date in your range with a note on how it counts.
These don’t come off your allowance:
- Days you don’t work. These are the working days an org admin has set for you, or Monday to Friday if none are set, so a weekend is free unless you work it.
- Bank holidays for the country and region in your profile, unless your organisation counts them as working days.
- Closures the company gives on the house.
The total is worked out again when you submit, and that’s the figure that’s booked.
Busy days
Section titled “Busy days”If your organisation limits how many team members can be off at once, across everyone or within your team role, days where that limit has been reached show an amber dot, and the key calls them “Limit of team members off reached”. It counts team members off on the leave type you’ve chosen, so the dots can change with the type. You only see the dates, never who’s off. The limits themselves are under Settings > Organisation.
It’s a heads-up, not a block. You can still ask for those days, and whoever approves your request weighs up the cover. Book the break you need.
Where your request goes
Section titled “Where your request goes”Your request goes to everyone who can approve leave for you: org admins, team managers and leave managers, plus any role managers in your team role. Whoever answers first makes the decision.
You’ll get an email to say it’s been sent, and a “Request sent” notification on any phone or computer where you’ve turned notifications on. The switch for that is Leave request confirmation in Notifications.
Your Note is only seen by you and the managers who can open your request. Colleagues looking at the calendar see your dates and the leave type, never your note.
Sick leave
Section titled “Sick leave”Book sick leave the same way as any other leave. A day that has already gone can’t be requested, so if you were off sick yesterday, ask an org admin to add it for you.
After you’ve booked
Section titled “After you’ve booked”Your request waits on My Leave, under Pending Requests, until it’s decided. See My Leave and your requests.
Pending leave doesn’t show on the team calendar. It appears there once it’s approved, and in your own calendar app too if you’ve added your feed.
If a day won’t let you pick it, Days you can’t pick explains why.
