Changing or cancelling leave
Plans change. Cancelling carries no penalty: the days go straight back, ready for another time.
Editing a pending request
Section titled “Editing a pending request”Editing is off unless your organisation turns it on. When it’s on, you can change your own request while it’s still pending and hasn’t started, for a set time after you sent it, anywhere from 1 hour to 30 days. Org admins choose this under Organisation Settings > Leave & Calendar > Editing Requests.
- Go to My Leave.
- Under Pending Requests, select Edit on the request’s row.
- Make your changes and select Save Changes.
Worth knowing:
- When the time is up, or the first day of the leave arrives, Edit simply goes. There’s no countdown.
- Every booking rule is checked again when you save, so new dates inside the notice period are refused. Moving them later works.
- Changing the leave type clears your dates.
- Whoever approves your leave is told about the change.
For approved leave, or once Edit has gone, cancel the request and book the new dates. Or ask an org admin or team manager, who can change it for you.
Cancelling leave
Section titled “Cancelling leave”- For a pending request, select Cancel on its row under Pending Requests on My Leave.
- For approved leave, open it from My Leave and select Cancel Request.
Then:
- In Cancel this leave?, choose a Reason, like “Change of plans” or “Rescheduling to different dates”. You need one to go ahead.
- Select Cancel leave. Keep it leaves everything as it was.
The days go back into your allowance straight away. You’ll get an email to confirm, and whoever approves your leave is told.
Choosing “Off sick instead” doesn’t book the sick day for you. Book it as Sick Leave, or ask an org admin if the day has already passed.
When you can cancel
Section titled “When you can cancel”You can cancel your own leave any time before its first day. Leave starting today counts as started, and so does a request starting today that’s still pending.
Once leave has started, only an org admin or team manager can cancel it. If you come back early or need another day, ask one of them to change it instead, so it shows the days you actually took. Leave that has ended can’t be cancelled.
Leave for a company closure
Section titled “Leave for a company closure”Some closures are booked as leave for everyone. You can’t cancel that yourself. Before it starts, any manager who approves your leave can excuse you from it by cancelling it. Once it has started, an org admin or team manager can.
