Common questions
Short answers to the questions that come up most. Each one links to the page with the detail.
Booking and allowance
Section titled “Booking and allowance”Why can’t I pick this day?
Section titled “Why can’t I pick this day?”Tap it, or hover over it on a computer, and Folke tells you why. It’s usually a weekend or a day you don’t work, a bank holiday, a closure, a no-leave date, a day inside the leave type’s notice period, or a leave year with no allowance left. Weekends, days you don’t work, bank holidays and closures already cost nothing. If you need a day that the notice period, a no-leave date or your allowance rules out, an org admin can book it for you. See Days you can’t pick.
Why is my allowance this number?
Section titled “Why is my allowance this number?”For Annual Leave, Folke uses an allowance set just for you if you have one, otherwise your team role’s, otherwise your organisation’s Annual Leave allowance. If your organisation lets unused days carry over, last year’s are added to your total. With unlimited leave there’s no total, just the days you’ve taken. The figures are for your organisation’s leave year, which doesn’t always start in January.
On Home, Annual Leave used counts approved leave, with pending requests shown on their own. The request form takes pending requests off what’s left as well, so the figure there can be lower. See Your allowance.
Do bank holidays come off my allowance?
Section titled “Do bank holidays come off my allowance?”Usually not. You get the bank holidays for the country and region in Settings > Profile, as long as your organisation has added that country, and they’re free unless your organisation counts bank holidays as working days. If the wrong ones show, check your country and region first. See Your allowance.
I work part-time. How is my leave counted?
Section titled “I work part-time. How is my leave counted?”Only the days you work come off your allowance, so a week off costs someone who works three days a week three days. An org admin sets your working days, so let them know if they’re wrong. Folke doesn’t scale allowances down for part-time hours: if yours should be different, an org admin can give you an allowance of your own. See Your allowance.
Can I take half a day, or just a few hours?
Section titled “Can I take half a day, or just a few hours?”Yes. Pick a single day and choose Morning off, Afternoon off or Custom time. Over several days, you can take the afternoon off on the first day and the morning off on the last. See Half days and hours.
Can I change a request after sending it?
Section titled “Can I change a request after sending it?”If your organisation allows it, select Edit on the request in My Leave while it’s still pending and within the time allowed from when you sent it. Editing is off unless an org admin turns it on. If there’s no Edit, cancel the request and book the new dates. See Changing or cancelling leave.
I was off sick yesterday. How do I record it?
Section titled “I was off sick yesterday. How do I record it?”Let an org admin know. They can add it for you, even for days that have passed, and it’s approved straight away. Requests you make yourself can’t start in the past. See Booking leave for someone.
Why is Folke telling me to take a break?
Section titled “Why is Folke telling me to take a break?”It’s been 60 days or more since your last break ended (or since your start date, if you haven’t had one), you’ve nothing booked or waiting for approval ahead, and you still have allowance to use. A break here is two working days or more of leave, and time off sick never counts as one. That’s often a good moment to plan some time off. The nudge comes at most once a month, only ever to you, and you can turn it off under Time-off nudge in Settings > Notifications. See Time for a break.
Approvals and roles
Section titled “Approvals and roles”Who approves my leave?
Section titled “Who approves my leave?”Anyone who can decide it: org admins, team managers and leave managers, plus role managers in your team role. Folke tells them all when you send a request, and whoever answers first decides it. See Booking time off.
Nobody has answered my request. What now?
Section titled “Nobody has answered my request. What now?”A quick word with whoever approves your leave is usually all it takes. Requests don’t expire and Folke doesn’t send reminders about them, though approvers see a dot on Requests until everything waiting on them is decided. You can cancel the request yourself any time before its first day. After that, only an org admin or team manager can. See Changing or cancelling leave.
I’m a manager. Who approves my own leave?
Section titled “I’m a manager. Who approves my own leave?”Your request goes to everyone else who can decide it, such as org admins and the other managers. Nobody approves their own leave, apart from org admins. See Who can do what.
Why can’t I see Team or Billing?
Section titled “Why can’t I see Team or Billing?”Team, Dates, Analytics, Billing and the organisation’s Settings are for org admins. Anyone who approves leave also gets Requests. Your own Settings, for your profile and notifications, are there for everyone. See Who can do what.
Privacy
Section titled “Privacy”What can my colleagues and my manager see?
Section titled “What can my colleagues and my manager see?”Colleagues see your approved leave and its leave type on the team calendar, as far as your organisation’s Calendar Visibility setting allows. They never see your pending requests or your notes. Whoever can decide your leave also sees your notes and how much of your allowance you’ve used. The time-off nudge is only ever for you. See Who can do what.
Can I hide my birthday?
Section titled “Can I hide my birthday?”Yes. Turn off Show my birthday (day and month only) to teammates in Settings > Profile. Folke then leaves it out everywhere it would show: Moments, the calendar, calendar feeds, Slack and the birthday emails, including the one to you. Teammates never see the year either way, though org admins can see your full date of birth on your profile in Team. See Your profile and privacy.
Leaving and joining
Section titled “Leaving and joining”What happens to my leave and account if I leave?
Section titled “What happens to my leave and account if I leave?”An org admin removes you from the organisation. Leave you haven’t started yet is cancelled and any desks you’d booked are freed. Your account is kept and your past leave stays in the organisation’s records, but you won’t see the organisation any more. See Joining Folke.
I’ve changed jobs. Can I use the same account?
Section titled “I’ve changed jobs. Can I use the same account?”Yes. Once your old organisation has removed you, sign in, choose Join with a code on the No organisation yet screen, enter the code from your new organisation and select Request to join. An org admin there then approves it. One email address is one account, in one organisation at a time, so signing up again with the same address won’t work, and your new organisation can’t invite it either. If your new organisation only accepts its own email domain, sign up with your new work address instead. See Joining Folke.
How do I delete my account or our organisation?
Section titled “How do I delete my account or our organisation?”There isn’t a button for it in Folke. Email us at hey@myfolke.com and we’ll help. See Contact us.
Your working week Pro
Section titled “Your working week Pro”Why can’t I change my working hours?
Section titled “Why can’t I change my working hours?”Your hours follow your organisation’s working hours unless an org admin lets staff shift them, under Organisation Settings > General > Working Hours (How far staff may shift their own hours). An org admin sets your working days too, so ask them if either is wrong. See Your status and working week.
For admins
Section titled “For admins”These are for org admins.
What happens when our free trial ends?
Section titled “What happens when our free trial ends?”Stripe charges the card for the plan you chose, and everything carries on. On Basic, the Pro features switch off that day, and anything set up in them is kept. Admins are emailed about three days before, and changing plan under Billing is free while the trial lasts. If your trial started without a card, choose a plan under Billing before it ends, or Folke locks until you do. See Plans and billing.
Do team members I’ve invited count as a seat?
Section titled “Do team members I’ve invited count as a seat?”Yes, from the moment you add them, even before they’ve set a password. Someone who asks to join counts once you approve them, and removing someone frees their seat. See Plans and billing.
Folke says “Subscription inactive”. What do I do?
Section titled “Folke says “Subscription inactive”. What do I do?”Select Go to billing on that screen. If the last payment failed, update the card under Manage card and invoices; otherwise, choose a plan. A failed payment alone never locks anyone out: the team keeps going while Stripe tries the card again. Nothing is lost while Folke is locked. If you’re not an org admin, let one know: only they can sort it. Meanwhile Your settings still opens, so you can change your password. See Troubleshooting.
