Seeing leave in your calendar
Folke can put leave straight into the calendar you plan your work in, which makes your break harder to book over. It keeps it up to date, too.
The quick way
Section titled “The quick way”On any calendar view, select Subscribe. Under My Leave or Full Organisation, choose Apple Calendar, Google Calendar, Outlook or Copy URL.
From settings
Section titled “From settings”- Go to Settings > Calendar.
- Find the feed you want:
- My Leave: your own approved leave.
- Full Organisation Calendar: everyone your organisation lets you see on the calendar, plus whatever you tick under What it shows.
- Select Add to Calendar and pick Apple Calendar, Google Calendar or Outlook. Or copy the link.
Outlook opens Outlook on the web. For the Outlook app, or a work Outlook account, copy the link and add it in Outlook as a calendar from the internet.
What’s in a feed
Section titled “What’s in a feed”- Approved leave only, from about a year back to a year ahead.
- All-day events marked as free, so they don’t block your availability.
- Updates on your calendar app’s own schedule. Google can take up to a day.
If your organisation’s subscription lapses, the feeds go empty until it’s sorted.
Choosing what’s in the organisation feed
Section titled “Choosing what’s in the organisation feed”Tick what you want under What it shows, then select Save Settings:
- Leave
- Non-working days
- Bank holidays
- Closures
Leave and Bank holidays are ticked to start with, and the last tick can’t come off. Leave and non-working days follow your organisation’s calendar visibility, so you only get the team members you can see in Folke. Bank holidays are your own country’s.
A calendar you’ve already added picks up the change on its next refresh, so there’s no need to add it again.
You can also tick Events, your organisation’s one-off dates like the Christmas party.
Birthdays and anniversaries Pro
Section titled “Birthdays and anniversaries Pro”On Pro you can also tick Birthdays and Work anniversaries. They follow the same visibility as leave, and anyone who has hidden their birthday stays hidden.
Emojis
Section titled “Emojis”Turn on Show emojis and save, and each event starts with an emoji, like ⛱️ for leave. The usual leave types have their own, like 🩺 for sick leave. It’s off to start with, and applies to both feeds.
If you share a link by mistake
Section titled “If you share a link by mistake”Each feed’s link is private to you. If one ends up somewhere it shouldn’t, select Reset calendar links and confirm. Both feeds’ old links stop working straight away, so add both to your calendar again.
Just one booking
Section titled “Just one booking”To add a single booking rather than a feed, open it from My Leave and select Add to Calendar. The email telling you it’s approved has the same links.
