The team calendar
Calendar shows your team’s leave beside bank holidays and closures. When you plan time off around each other, whoever is away can properly switch off.
A closure the organisation gives on the house shows as a closure in every view, with the days shaded like a bank holiday. A closure that comes off allowance shows as each team member’s leave instead, the same way in the month grid, the Gantt view and the list.
Only approved leave shows. A request still waiting for a decision, yours included, appears once it’s approved. If you approve leave, the list view can show pending requests too.
Three views
Section titled “Three views”Switch between them with the icons at the top. Folke remembers the one you used last, on any device.
- Calendar view: a month grid with a bar for each booking, in its leave type’s colour. Your own leave is a shade bolder, and a half day fills half the day. A busy day shows “+2 more”, which you can select to see who. On a phone, swipe sideways to change month.
- Gantt view: a row for each team member, from a week ago (yesterday on a phone) to two years ahead. Hover over a bar for the details. The sort button groups the team by Job Role, orders them A - Z or Z - A, or shows Only Me.
- List view: Upcoming Leave, then Past Leave (the most recent 60), three a month with “View 4 more” for the rest. Closures and events still to come sit among the upcoming leave, and leave already under way says when they’re back.
For leave from more than a week ago, use the month or list view.
If you approve leave, the list view has a status filter beside Upcoming Leave. Add Pending to see the requests waiting on you, and your own, as well as what’s booked. The filter stays on screen even when nothing matches, so you can always tick Approved back on.
Choosing what shows
Section titled “Choosing what shows”Use Filter to choose from Leave, Bank holidays, Closures, Events and Non-working days. While something is hidden the button says so, for example “Filter (1 hidden)”, and Show everything brings it all back. Your choice is kept in that browser and applies to all three views.
- Bank holidays: the month grid shows your own, from the country and region on your profile. On the Gantt view each row shows that team member’s, so a bank holiday may shade only some rows.
- Non-working days: someone who doesn’t work a particular weekday is marked on it, so a day they never work isn’t mistaken for leave.
- No-leave dates never show here. You’ll see them on the request form, where they matter.
Birthdays and work anniversaries aren’t on the calendar at the moment. They’re on Moments, and you can add them to a calendar feed.
Events
Section titled “Events”Your organisation’s one-off dates, like a team day or the Christmas party, show in all three views: on the day in the month grid, across every row of the Gantt view, and among the leave in the list. Org admins add them under Dates. See Organisation dates.
Who you can see
Section titled “Who you can see”Your organisation chooses how much of the calendar team members see: everyone, only your own team role, or only yourself. If it’s set to your team role and you don’t have one, you’ll see only yourself. Anyone who approves leave sees everyone.
If someone you expected is missing, that’s usually why.
What you see of your team’s leave
Section titled “What you see of your team’s leave”You see who is off, when, and the leave type, like Annual Leave or Sick Leave. A booking opens, with any note that came with it, only if it’s yours or you’re one of the managers who approve that team member’s leave. Anyone else never sees the note.
For org admins, a team member’s name and photo in the list view, on the Gantt view and on Moments open their page under Team. For everyone else they’re just a name and photo.
